AI Voice Agent Integration

Connect an AI Voice Agent to Your Phone System,
Without Breaking Transfers or Caller ID

An AI voice agent from another vendor still depends on your phone system to deliver the call, transfer it back to staff and present an outbound caller ID the carrier accepts.
VoIP Services Now scopes and operates that phone-side work on a hosted plan or on SIP trunks into a compatible PBX you already have.
Quick Answer

What does it take to connect an AI voice agent to a business phone system?

VoIP Services Now is the business phone service run by SRS Networks, a Salinas, California company operating since 1996. Start with the AI vendor's connection requirements and map the number, routing, staff destinations, caller ID and unavailable-service fallback. Hosted plans include forwarding to an outside number. If you keep a supported PBX, assess its call routing and SIP trunk connection separately. Test each call path before accepting the design. The AI subscription, conversation, scheduler integration and vendor availability remain separate from the phone service.

The Split

The AI Vendor Holds the Conversation; the Phone System Delivers the Call

An answered call is only the first step. The outside AI vendor supplies its conversation, scripts and any application integration. Your phone service supplies or carries the published number and the routes into and out of that conversation. Assign responsibility for both sides before changing a working number.

We operate the phone side and review the proposed connection against the systems involved. That is a separate scope from reselling an AI product or promising its booking behavior. Bring the vendor's actual setup requirements rather than assuming every voice service accepts the same connection.

Getting Calls In

Choose Forwarding or a Connection Through the PBX You Keep

Call forwarding to an outside number is included on every hosted plan. It can be part of a proposed after-hours or overflow design, alongside ring groups and schedules. Confirm the destination, when the rule applies and any usage charges before making that route live.

If the existing PBX still fits, assess its supported connections and SIP trunks instead of replacing it just to introduce AI. A SIP trunk into a customer's PBX is a different service from hosted per-user calling. We review the PBX and vendor requirements and quote the required configuration separately; no universal AI-vendor connection is implied.

Handoff

A Transfer Needs a Real Destination at Both Opening and Closing Time

Map direct numbers or approved routes for sales, service, parts or the appropriate office team. Set the queue, schedule and voicemail ownership for each destination. An extension inside one system is not automatically reachable from an outside AI vendor.

Test a caller asking for a person while the department is open, busy and closed. Define what happens when nobody answers, and make sure the AI does not send a call into a route that forwards straight back to it. Staff need a usable return path, not a circular transfer.

Caller ID

Why Do Outbound Calls Fail After an AI Agent Goes Live?

A transfer or dial-out destination can create another call leg. If that leg presents a number the carrier will not accept, the carrier may reject it even though the AI conversation worked. The failure can sit in the phone configuration rather than the internet connection or the AI's script.

Read the call records and signaling before assigning blame. Confirm the permitted caller ID on each leg with the carrier and test it at the receiving phone. Our operator approach is to inspect the actual path and agree the correction; a routing diagram alone does not prove that the call will complete.

Unavailable Service

Agree What Callers Hear When the AI Vendor Is Unavailable

Plan an alternate route to an auto attendant, an answering queue or a carried business extension. Agree who invokes the fallback, how availability is detected and what the caller hears. A fallback must be configured and tested; it is not automatic just because the phone service is hosted.

Test a vendor-down scenario before cutover, including return to normal routing. We scope the phone-side behavior. We do not promise the AI vendor's uptime, recovery time or continued access to its applications.

Recording

Two Systems May Record the Same Call

Confirm whether the phone system, the AI service or both create a recording. Identify which copy is the record of truth, who can access it and which retention policy applies. The AI vendor's storage does not automatically inherit your hosted plan's retention or voice-and-video agreement.

California recording-consent requirements need review across the whole call, including transfers and both recording systems. Our call-recording configuration has an automatic announcement, but that does not establish legal permission for every recording or later use. Have the business approve the notice and recording procedure with its adviser.

How It Runs

Prove the Connection Before Changing the Live Call Path

  1. 1

    Collect the vendor's requirements

Bring the receiving number or documented connection details, transfer method and the phone system you use now.

  2. 2

    Map staff destinations by hours

Set direct routes, business hours, queues and the behavior when a department cannot answer.

  3. 3

    Test each call leg

Check inbound delivery, transfers, unanswered calls and the number presented on each additional leg.

  4. 4

    Test the unavailable-vendor route

Demonstrate the agreed fallback and how normal routing is restored. Assign an owner for both actions.

  5. 5

    Review the initial call records

Agree who reviews the first week's records, which exceptions matter and how corrections are approved.

Before You Buy

When a Separate AI Voice Connection Is the Wrong Answer

If the AI vendor supplies the numbers and all required transfers and fallback already work, a separate phone-side project may be unnecessary.

If you want the AI service from us, start with our AI Receptionist add-on rather than contracting an outside platform by default.

Frequently Asked

AI Voice Agent Integration FAQs

Do we have to replace our phone system to use an outside AI receptionist?
Not necessarily. If your PBX is supported and still meets the business need, assess its routing and carrier connection first. Hosted service is another option. The correct path depends on your AI vendor's requirements, staff destinations and the connection tests, not the AI label alone.
Do you work with STELLA, Numa or Toma?
Bring the platform's documented connection and transfer requirements. We assess standard call forwarding or supported SIP trunks into a PBX you keep, then test the proposed path against the vendor's settings. We do not resell those AI services or claim a vendor partnership or certification. There is no blanket compatibility promise.
Can the AI transfer callers to specific extensions?
Confirm the transfer method and a destination the AI can actually reach. An internal extension may need a different reachable route. Test department hours, a busy destination, no answer and the possibility of a forwarding loop before accepting the setup.
Why did calls start failing after the AI went live?
An additional call leg may present caller ID the carrier rejects, or a transfer destination may not be reachable as configured. Review signaling and call records to identify the cause. Do not assume every failure is a carrier outage or that changing the AI script will correct a phone-side fault.
What happens if the AI service goes down?
Use an alternate route agreed and tested in advance, such as a menu, queue or carried phone. Define whether the change is manual or depends on supported detection. We scope the phone side; the outside vendor's uptime and recovery remain its responsibility.
Can we keep our business numbers?
Request porting eligibility checks for the numbers you need. If you keep the carrier, routing may be the work rather than a port. Where a provider change is planned, retain current service until the accepted transfer and actual inbound tests are complete.
Does the connection include the AI subscription?
No. You contract the outside AI vendor separately. If you want our own service, review the custom-quoted AI Receptionist add-on instead. Phone users, SIP capacity, engineering, installation and any AI service should have separate commercial scope.
Is recording automatically lawful when an AI answers in California?
No automatic conclusion follows from an AI answering or an announcement playing. Review consent, notices, transfers, storage and access across both systems with the business's adviser. Agree which system records and which copy is the business record before enabling it.
Which phone plan do we need?
Hosted plans all include auto attendant, groups, queues, schedules and forwarding. The required workflow determines any additional feature or configuration scope. SIP trunks into an existing PBX are separately quoted and are not priced as hosted user seats.
Do you install onsite?
Onsite installation is available nationwide and quoted separately to the site and work involved. Some connection work may concern routing rather than new handsets. Confirm access, network readiness, testing responsibilities and any site visit in the proposal.
