VoIP Services Now is the business phone service run by SRS Networks, a Salinas, California company operating since 1996. The AI Receptionist is an add-on for fuller conversations and expanded answering workflows. Discuss approved answers to routine questions, caller details, busy-hour or after-hours handling, appointment requests and transfers to staff. Calendar booking and CRM updates require a supported, separately confirmed integration. Setup, ongoing service, usage and changes belong in the written quote. It is distinct from the basic AI Agent included with Pro.
Answer the Questions Your Team Repeats Every Day
Hours, location, service area and approved service descriptions are useful starting points. Bring the questions your staff answer repeatedly and the wording you want callers to hear. Assign someone to keep that information current as hours, services or locations change.
The fallback matters as much as the answer. Agree what the receptionist should do when the caller asks something outside the approved information: collect a callback request, attempt a transfer or give another agreed next step. An unknown answer should reach that path rather than become a promise on your behalf.
Collect Enough Context for a Useful Callback
Scope the information staff need to continue the conversation: the caller's name, callback number, reason for calling and the location relevant to the request. Keep intake short enough that a caller can finish it. Confirm the fields and destination before relying on the workflow.
A captured inquiry still needs an owner. Decide who receives the information, who follows up and what the caller is told about timing. If a CRM entry or call summary is part of the proposal, confirm its destination, supported integration and behavior in a demonstration.
Give Overflow Calls an Agreed Path to Staff
Use your busiest hour and your closed-hours call pattern to design coverage. Some callers need to leave an inquiry; others need a person. Identify the transfer contacts, coverage hours and the requests that require human judgment.
Test the case where nobody answers the attempted transfer. Agree whether the caller can leave details or take another route, and what response expectation they hear. AI coverage, successful transfers and callback timing are separate parts of the service scope; none should be assumed from the label AI Receptionist.
An Appointment Request and a Confirmed Booking Are Different Outcomes
Capturing a preferred day and time gives staff a request to review. Booking an available slot requires the receptionist to work with a supported calendar and the right permissions. Decide which outcome your business needs before discussing the integration.
Confirm the calendar product, permitted actions, availability rules and whether staff approval is required. If booking or CRM updates are proposed, ask to see that actual integration operate. The Pro plan's appointment-scheduling feature does not by itself establish a complete receptionist booking workflow.
Quote the Receptionist Separately from Phone Users
The AI Receptionist add-on has a custom quote. Bring expected call volume and call length, coverage hours, requested languages, intake fields, transfer destinations and the applications involved. Confirm language support and usage allowances for the proposed configuration.
Ask the proposal to separate setup, ongoing service, usage charges, integrations, support and future changes. Hosted user plans, optional phone rentals and onsite installation are separate items. No receptionist minute allowance, supported calendar list or fixed add-on price is published here.

Build the Call Flow Around Five Agreed Actions
- 1
Greet the caller and understand the need
Agree the business name and greeting, then identify what the caller wants to accomplish.
- 2
Use approved information
Set the answers the business authorizes and the fallback for questions outside that scope.
- 3
Collect the required details
Confirm the intake fields, where information goes and who receives the follow-up.
- 4
Take the confirmed action
Capture an inquiry or attempt an approved transfer. Calendar and CRM actions require separately confirmed support.
- 5
Hand off and test the fallback
Test a request for staff, a question requiring judgment and an unanswered transfer before accepting the configuration.
When an AI Receptionist Is the Wrong Answer
A short phone menu may be enough when callers only need to choose a department; auto attendant menus are included on every plan.
Calls requiring human judgment need an agreed staff destination and fallback. A conversational service does not remove that responsibility.
If a required calendar, CRM action or language is unconfirmed, qualify it before choosing the add-on.
Plan the work before choosing a date
Tell us what should happen when a customer calls
