Multi-Location Business Phone Systems
One Agreed Rollout Plan.
How do you plan a business phone system for multiple locations?
VoIP Services Now is the business phone service run by SRS Networks, a Salinas, California company operating since 1996. Inventory the users, numbers, devices and network readiness at each site, then agree the call flows and rollout sequence before transferring numbers. For multi-location deployments, a member of our team is onsite to roll out the system at every location you need. Installation is quoted separately from service. Cross-site routing, billing and administration requirements are confirmed in the proposal.
A Branch List Is Not an Installation Scope
A reception office, a warehouse and a remote team may share a company name while needing different devices and call handling. Record the differences before choosing hardware or a transfer date. Name a business contact and a site-access contact for every address.
People and devices
Users at each address, desk phones versus apps, reception positions, cordless areas and any existing phones proposed for reuse.
Numbers and providers
Main numbers, direct numbers, fax numbers, current providers, account owners, contract dates and numbers that must remain untouched.
The building
Internet connection, network drops, switch ports and power, access arrangements, working hours and any cabling or coverage concerns.
Call handling
Which team answers each number, business hours and time zones, busy and unanswered calls, voicemail destinations and who approves changes.
Special devices
Physical fax machines, paging and other analog equipment. Identify each separately so compatibility and its required service can be assessed.
Put it in one planning worksheet
Use the same fields for every office so the quote can show which work repeats and which site needs an exception.
Fill in one row per location. Start with counts and roles; keep passwords and transfer PINs out of the worksheet. No email is needed to download it.
Write Down Where Each Call Should Go
Start with an ordinary customer call. Which number did they dial? Who should answer first? What should happen when that team is busy or the office is closed? Add the exceptions: different time zones, holidays, separate departments and staff working away from a desk.
Then record the desired behavior between locations. A shared reception team and independently answered branches are different requirements. We review the configuration, feature eligibility and limits before treating either as an agreed design.
Decisions to confirm in the quote
- Number ownership and the intended answering teams.
- Required routing, overflow and voicemail destinations.
- Who requests and approves configuration changes.
- Billing arrangements and any administration requirements.
- Support contacts and the scope of onsite follow-up.
These are planning requirements, not a promise that every account arrangement is available.
Choose the Order Around the Business
1. Check readiness
Review each site's network, access, equipment and account records. Identify work that must finish before a proposed cutover, including phone compatibility and any analog-device assessment.
2. Consider a pilot
If it suits the program, use a representative site or a limited group to check the configuration and training approach. A pilot is optional; decide whether it tests the important requirements before using it as a model for other sites.
3. Agree transfer groups
Group numbers and locations around carrier acceptance and operational dependencies. Keep old service active until transfers complete and are verified. A requested date is provisional until accepted; check the effect on existing bundled services.
4. Accept each location
Check calling, routing, caller ID, voicemail and staff use against the agreed scope. Record open items, their owner and next action. Confirm how later changes and support requests should be raised rather than leaving that to assumption.
This is a planning framework. Site dates, delivery responsibilities, test steps and any phased rollout are agreed for your project. No fixed porting time or interruption-free cutover is guaranteed.
Compare the Total by Site, User and Device
- Service by user
- The proposed plan for each user and the chosen billing term. Separate features that change the required plan from optional additions.
- Devices by site
- Phones to reuse, optional rentals, quoted specialist devices and the person responsible for equipment returns if service ends.
- One-time site work
- Installation labor, travel or access requirements where applicable, network remediation, cabling, configuration and training as scoped.
- Transfer and overlap
- Any remaining current-provider charges and the period when old and new service may overlap. Our number port-in fee is zero.
- Recurring additions
- Applicable taxes, regulatory fees, texting registration or usage charges and selected add-ons. Request an itemized recurring total.
Service is available monthly with a 1-year commitment or month-to-month. Installation is quoted separately; optional rental and cancellation terms depend on the selected option. Use the current pricing and full terms when preparing the comparison.

Step 1 — What do you need?
What to settle before you switch
- 1
We review your requirements
Start with users, site locations and the system you have today. You do not need a finished specification to ask for a quote.
- 2
Separate service, equipment and installation
Ask for the recurring plan, optional desk phones, onsite work and applicable fees to be shown separately. Site readiness and devices determine the installation scope.
- 3
Agree the port and installation plan
Contract dates, site access and carrier confirmation shape the target cutover. Keep current service active until the number transfer is confirmed complete.
