How should a dealership choose an AI receptionist?
VoIP Services Now is the business phone service run by SRS Networks, a Salinas, California company operating since 1996. Start with the exact scheduler action, staff transfer path and phone-side responsibilities you need. A vendor that captures a request is different from one authorized to book into your store's scheduler. Demonstrate the actual workflow, confirm total scope and test caller ID and fallback before changing the live call path.
Take These Nine Questions to the Demonstration
- Which tasks does the product actually include?
- Does it write into our scheduler, or take a request for staff?
- Where does a transfer land when the department is busy or closed?
- Is this an OEM program quote, and which costs qualify?
- Which systems record the call, and how is consent handled?
- Does the proposal include outbound AI, and who reviews its use?
- What will callers hear when the AI vendor is unavailable?
- Who owns the number, phone routes and caller ID on each leg?
- Would queues and an after-hours answer meet our actual need?
Check Which Dealer Workflows the Product Actually Includes
Reception, service booking, outbound follow-up and call analysis are different products or scopes. As of November 2026, STELLA lists dealer schedulers and DMS connections on its service-booking integration page. Ask which named connection your proposal includes and demonstrate it with your store's actual configuration.
As of November 2026, Numa's integration catalog distinguishes data read from booking actions and lists service-scheduler connections. That distinction is useful: access to customer history is different from permission to place an appointment.
As of November 2026, Toma describes AI call handling, booking and routing for automotive businesses. Confirm the supported configuration for your store rather than treating a general product description as a completed installation.
As of November 2026, Impel describes sales, service and voice products through its OEM programs. Product selection and program eligibility need to match the written quote. These are the vendors' published descriptions, not a claim that VoIP Services Now resells or is affiliated with them.
Does It Write into Your Scheduler, or Just Take a Message?
Ask to watch the appointment appear in the system your advisors use. Check the date, service type, capacity, changes and cancellation behavior. A callback request, an email or an entry in a separate calendar does not prove that a dealer service slot has been reserved.
Bring the exact Xtime, myKaarma, Dealer-FX or other product and version. Ask for the vendor's current authorization, any required interface program and the actions it can perform. A DMS connection, a scheduler connection and a certified two-way workflow are different claims. Do not infer one from another platform's logo.
Our AI Receptionist does not book into a dealer scheduler or DMS today. If that is the deciding requirement, choose and verify a dealer platform that does; we can review the phone connection underneath it.
Give the Handoff a Department, an Hour and a No-Answer Result
Sales, service and parts may close at different times. Write down the reachable destination for each department, its hours, the queue or group that answers and the fallback when nobody can. Test the transfer from the AI's actual call path, not just from an internal handset.
A route that forwards back into the same AI creates a loop. A route to an unstaffed extension creates a different version of voicemail. Both are phone-side acceptance failures to find before launch.
Ask Whether the Price Is an OEM Program Price
Keep the subscription, setup, integration, usage, phone service and any installation work separate. Ask which product and store qualify for any manufacturer program and what documentation is required. A co-op statement on a vendor website is not your store's reimbursement approval.
Impel's published FordDirect and other OEM program information, checked November 2026, illustrates why program scope belongs in that conversation. Get the terms in writing. This guide publishes no competitor price figures or assumed savings.
California Consent Questions Apply to the AI Recorder Too
Identify every system that records the call, when recording starts and what happens after transfer. California's rules for confidential communications require careful consent review; the Judicial Council's civil instructions, CACI 1809, address recording and consent. Have the dealership's adviser approve the actual procedure.
The phone system's automatic recording announcement is one configured control. It does not establish the legality of a separate AI recording or every later use. Decide the record of truth, authorized viewers and retention on both systems. This is an operational review point, not a legal determination about a particular call.
Review Outbound AI Separately from an Inbound Receptionist
An outbound AI offer needs its own consent and carrier review. The FCC's 2024 declaratory ruling places AI-generated voices within the TCPA's artificial-or-prerecorded-voice framework; requirements and exceptions depend on the call. Have qualified advisers review the intended use.
Carrier acceptance and caller-ID presentation are separate technical checks. VoIP Services Now does not sell outbound AI calling or lead-nurture campaigns in this offer. A transfer or additional call leg that needs caller-ID testing is not an authorization to run an automated calling campaign.
Hear the Fallback Before the AI Vendor Goes Down
Ask who detects an unavailable service, who changes routing and what the caller hears. Test the agreed alternate menu, queue or carried phone. Automatic detection and manual rerouting are different arrangements; neither should be inferred from a cloud label.
Confirm how normal service is restored and who reviews missed inquiries. No phone provider should promise an outside AI vendor's uptime without an agreement that actually supports it.
The AI Conversation Still Needs a Working Phone Path
Identify the number owner, delivery method, reachable transfer destinations and caller ID on each relevant leg. Your existing phone service may already provide what the AI vendor needs. If it does, replacing it by default adds work without fixing a gap.
Where phone-side work is required, see connecting an outside AI voice agent. We assess forwarding or supported SIP trunks into a PBX you keep and test the proposed route. That is separate from the AI subscription and any dealer-scheduler connection.
A Single Store May Need Queues and an After-Hours Answer First
If calls only need to reach the right department, a short menu, service queue and clear overflow rule may be enough. The dealership phone-system plan starts there. Buying a dealer AI platform for a routing problem is an expensive way to avoid defining the route.
If routine inquiries need a fuller first conversation, review our AI Receptionist add-on and the basic AI Agent included with Pro. If writing into a dealer scheduler is essential, the specialist platform with a verified integration is the better buy.
