Quick Answer

Who sets up business phone systems for real estate offices?

VoIP Services Now is the business phone service run by SRS Networks, a Salinas, California company operating since 1996. Mobile and computer apps, schedules and an auto attendant are on every plan. Sending business texts requires Plus or Pro and carrier registration. Account numbers, reassignment and administration should be confirmed in the proposal. Service starts at $11.99 per user per month with a 1-year commitment, plus taxes and regulatory fees. Optional equipment rental and onsite installation are separate. Call (866) 601-3636.

The Requirement

What Do Real Estate Offices Need from a Phone System?

An agent can work away from the office while still calling through a business extension. The brokerage needs to decide which number appears on listings, where incoming calls go and who authorizes a reassignment when staff change. App availability alone does not establish ownership of a number or the account process.

Property management adds a different workflow. A routine lease enquiry and a time-sensitive maintenance report need distinct instructions and staffed destinations. The management team supplies the approved wording and duty schedule; a menu cannot establish whether a reported issue is an emergency or guarantee a response.

Texting and recording need their own decisions. Plus and Pro support sending business texts after carrier registration; recording is included on Pro. Confirm the intended numbers, staff access and policies instead of treating either feature as permission to send campaigns or record every conversation.

What Should Real Estate Offices Include in a Quote Enquiry?

Describe roles, devices and the work you need. Keep private customer records and account credentials out of the initial enquiry.
  • List office, agent and property-management roles without tenant, owner or applicant details.
  • Identify published numbers, desired caller ID and the person authorized to approve reassignments.
  • Supply duty schedules and generic maintenance-routing instructions; list branches and physical device needs.

An acceptance example to agree: Test an agent callback, an office enquiry and a fictional after-hours maintenance report. Verify caller ID, the staffed destination and the fallback if the duty contact is unavailable.

Frequently Asked

Real Estate Office Phone System FAQs

Can an agent call from a mobile using a business number?
Yes. The mobile app can carry the business extension and display the configured business number. Test the exact caller ID and incoming route. A call made outside the app should not be assumed to use that business identity.
Does the brokerage automatically retain every agent’s number?
Do not assume that from the device setup. Identify who controls the current number and account, then confirm porting, permissions and reassignment arrangements in writing. A personal number and an account-provided business number may need different treatment.
Can maintenance calls route differently after hours?
Schedules and menus can use an agreed maintenance destination and routine-message path. The property manager must approve instructions and provide answering coverage. Routing does not diagnose an emergency or guarantee a contractor attends.
Can we text clients from the published number?
Sending business texts is on Plus and Pro and requires carrier registration. Confirm that the intended number and use are supported, who can reply and how conversations are handled. Bulk or automated messaging is a separate requirement.
Is recording included for every agent?
Pro includes recording. Choose the required tier and confirm the configuration for the intended users. The system’s consent announcement does not replace the brokerage’s review of whether recording and retaining a particular conversation is appropriate.
Can several branches use one system?
A shared dial plan can connect offices while retaining distinct answering rules and local numbers. List all locations and desired administration and billing arrangements so the proposal can confirm them. Physical work is scoped per address.
What happens when an agent leaves?
Have an authorized administrator follow the agreed offboarding process: access, app sessions, forwarding, voicemail and number destinations all need review. Confirm the available controls and ownership of each number before promising a particular reassignment.
What should we provide for an office move?
Start with old and new addresses, users, carrier and number inventory, device choices and the target window. Keep the old service active through porting and testing. Do not send tenant files, identification documents or private carrier credentials through initial enquiry.
